1. Introduction

This Privacy Policy explains how Ether (“Ether”, “we”, “us”, “our”) collects, uses, discloses and protects personal data when you use our website, mobile applications and related services (collectively, the “Platform”).

Ether is operated by Universal Educon Private Limited, having its registered office at 3/2 Filka Building, Daftary Road, Malad East, Mumbai - 400 097.

We primarily provide our Platform to schools and educational institutions (“Schools”) to manage academic, administrative and fee-related workflows. In doing so, we handle personal data of students, parents/guardians, and staff on behalf of Schools, and in some cases directly.

By using the Platform, you agree to the terms of this Privacy Policy.


2. Roles and Responsibilities

- For data processed on behalf of Schools (e.g., student records, fee data, staff data), the School is the data controller / data fiduciary and Ether acts as a processor / service provider.
- For data collected directly by Ether (e.g., website usage data, support requests, product analytics, marketing communication preferences), Ether acts as the data controller / data fiduciary.

Schools may have their own privacy policies that apply to how they use data within Ether. In case of conflict, please refer to your School’s policies and contact the School directly.


3. Information We Collect

The types of personal data we may collect, either directly from you, through your School, or automatically, include:


1. School, Staff and Account Information

- School name, address, contact details
- Names and contact details of authorised School representatives and staff
- Role/Designation, departments, employee IDs


2. Student and Parent/Guardian Information (Primarily provided and controlled by the School)

- Student name, date of birth, gender, class/section, roll number
- Parent/guardian names, relationship to student, contact details
- Admission details, enrolment status, academic records (marks, grades, attendance) as configured by the School
- Fee structures, fee plans, concessions, dues, and payment history


3. Payment and Transaction Information

- Mode of payment (card/net banking/UPI, etc.)
- Masked card details or payment instrument identifiers as permitted by applicable law
- Transaction amounts, dates, status, transaction IDs
- Any bank/payment gateway references or UTR numbers as shared with us


4. Technical and Usage Information

- IP address, device information, browser type, operating system
- Login timestamps, pages viewed, features used, error logs
- Cookies and similar technologies (see “Cookies” section below)


5. Support and Communication Data

- Content of your queries, support tickets and communication with us
- Feedback, survey responses, or other information you voluntarily provide

We do not intentionally collect more data than is reasonably required to deliver our services.

- Enabling Schools to manage student, parent and staff records
- Facilitating fee collection on behalf of Schools, including communication of due dates, receipts, and payment confirmations
- Supporting academic and administrative workflows as configured by the School


2. To Communicate with You

- Sending notifications related to fee payments, attendance, academic progress, announcements, etc., as initiated by the School
- Responding to your queries and support requests


3. To Improve Our Services

- Monitoring usage to understand feature adoption and improve user experience
- Debugging, preventing errors and enhancing security


4. To Comply with Legal Obligations

- Complying with applicable laws, regulations and directions from government authorities or courts
- Preventing, detecting and investigating fraud, unauthorised access or misuse


5. Marketing and Product Communication (Limited)

- With appropriate consent or as permitted by law, we may send information about product updates, new features or related services.
- You may opt-out of such communications at any time using the unsubscribe link or by contacting us.


5. Legal Basis for Processing (where applicable)

Depending on your jurisdiction and applicable laws, we may process personal data based on:

- Performance of a contract (e.g., School Agreement, user terms)

Where Schools rely on consent for processing student or parent data, they are responsible for obtaining and managing such consent.

We may share personal data with:


1. Schools and Their Authorised Users

- Data related to a School (students, parents, staff, transactions) is accessible to that School’s authorised personnel as per the School’s configuration and policies.


2. Payment Gateways and Banks

- To process fee payments and refunds as instructed by the School, we share necessary transaction details with payment gateway providers and banks.


3. Service Providers and Vendors

- Cloud hosting providers
- SMS/e-mail and notification service providers
- Analytics and monitoring tools
- Other subcontractors assisting us in providing the Platform

These entities are bound by contractual obligations to handle data securely and use it only for the specified purposes.


4. Group Entities and Affiliates

- Where Ether is part of a group of companies, data may be shared with affiliates for internal administrative and service improvement purposes, in compliance with applicable law.


5. Legal and Regulatory Authorities

- Where required by law, court order, or to protect the rights, property or safety of Ether, Schools, users, or the public.

We do not sell personal data to third parties.

- For data processed on behalf of Schools, our retention is guided by the School Agreement and the School’s instructions.

- Encryption in transit and at rest (where appropriate)

However, no system is completely secure, and we cannot guarantee absolute security of data transmitted or stored on the Platform.


10. Children’s Data

Ether is used by Schools that cater to children and minors. Our handling of children’s data is primarily on behalf of Schools.

- We do not directly offer the Platform to children without School or parent/guardian involvement.
- Parents/guardians and Schools are responsible for ensuring that any information relating to minors is shared in accordance with applicable laws and School policies.

If you believe we have collected personal data from a child in a way that is not authorised by the School or applicable law, please contact us promptly.


11. Your Rights

Your rights may vary depending on your jurisdiction and your relationship with the School. Subject to applicable law, you may have the right to:

- Access the personal data we hold about you
- Request correction or updating of inaccurate data
- Request deletion or erasure of your data (subject to legal and contractual limitations)
